Graduation Procedures
Begin completing this process the semester prior to your intended graduation date (example: complete this process in the fall if graduating in spring), or when you have reached a minimum completion of 80% of your degree, which is roughly 96 credits. Early planning ensures that students have time to address any discrepancies before approaching deadlines. See the NMT Calendar for deadline dates.
Meet with your Academic Advisor
Schedule a meeting: Make an appointment with your academic advisor, this can be completed via email.
Bring your degree audit: Bring a copy of your current degree audit from the degreeworks audit system to your meeting.
Graduation check: Your advisor will go over your degree audit with you and review your completed and in-progress courses, and then:
Provide an estimated graduation semester based on the completion of your program.
Approve your technical electives via the Elective Approval form if needed.
Fill out and sign the Degree Completion Advisor Approval form for undergraduate students.
Graduate students must have an approved and completed “Course Program of Study” form obtained from the Graduate Studies office. Email graduate@nmt.edu to inquire.
Identify any outstanding requirements.
Ask about your electives, GPA requirements, and ensure that your General Education and Major required courses are covered, if you have incoming transfer credit, be sure your transcript arrives on time.
Obtaining a Minor, meet with your Minor Advisor
Schedule a meeting: Make an appointment to meet with your minor advisor, this can be completed via email.
Minor Declaration: Be sure you have declared your minor with the Registrar's office at minimum one semester prior to your graduation semester.
Identify any remaining requirements.
Fill out and sign the Advisor Approval of Minor form.
Complete the Remaining Coursework
Keep on track by completing your courses with passing grades.
Ensure you meet the minimum GPA requirement of 2.0.
FE Exam score submission. If you are majoring in Mechanical Engineering, Civil Engineering, or Mineral Engineering; be sure to complete the FE examination at least 4 weeks minimum prior to graduation, preferably the semester before. Failure to provide FE exam scores to the Office of the Registrar by deadline dates within the academic calendar will block graduation.
Completing a Minor: be sure your minor has been declared with the Office of the Registrar the semester prior to graduation, failure to declare your minor will result in the minor not being awarded.
Resolve non-reported grades declared as “NG”, “NR”, or “PR”. Follow-up with instructors for missing grades, missing grades will block graduation. Updated grades are viewable via the unofficial transcript in banweb.
Petition for Graduation
Complete the Petition to Graduate form. Once your advisor (and if applicable your minor advisor), has approved that you are on track for graduation and signs your Degree Completion approval form, you can then fill out the Petition to Graduate form found on the NMT Registrars webpage at: https://www.nmt.edu/registrar/forms.php and under Petition to Graduate forms.
Petition Review. Upon submission of the Petition to Graduate form, the Registrar's office will receive and review your Petition to provide feedback within time to resolve any discrepancies or issues. Petition review periods are: early December through end of January; Early August through end of September.
Cap & Gown Graduation Regalia
Visit the NMT Bookstore! You can visit the bookstore in-person or online to purchase your cap, gown, tassel, and other commencement related items.
Watch for Announcement Releases: The bookstore will post details on regalia availability dates.
Honors stoles: Visit with the Office of the Registrar between the months of April through early May to receive your release form to purchase any honor stoles you may have earned.
Commencement
NMT Commencement: The ceremony is open to all students who are planning to graduate, have completed the Petition to Graduate form, and are on track with program completion by the spring semester.
Students completing in the summer may apply for a spring commencement participation exception, inquire with the Office of the Registrar about requirements for this exception.
GradPak RSVP portal. Watch your student email for announcements from the NMT Commencement Committee in partnership with the Alumni Office for directions to RSVP and register guests for the commencement ceremony. This will typically begin mid-March.
Receiving your Diploma
Degree conferral processing: final review of degrees will be reviewed upon completion of courses and final grades submission. Final grade processing is approximately 1 week and begins the Monday following the last day of the semester. The process of conferral takes approximately 30-45 calendar days, post final grade processing.
Official Degree posting: Degrees are approximately posted to the students account within 3-4 weeks after grades are posted & no later than June 30th for spring completions, no later than January 31st for fall completions, and no later than August 31st for summer completions.
Diploma Holds: Did you have department keys, or an outstanding balance? Confirm with student accounts that your keys have been returned and that your student account is at a $0 balance. These infractions will block your degree from being mailed. Student accounts can be contacted through email at bursar@nmt.edu.
Diploma mailing: Diplomas are mailed approximately 6-8 weeks after graduation to the address listing on your Petition to Graduate form.
Review your copy of your Petition to Graduate form to view your mailing address to avoid your diploma from being delayed. Should you need to update or change your diploma mailing address, please contact the Registrar office by email at registrar@nmt.edu.
Letter of Completion: Do you need an official document proving your degree completion? The Office of the Registrar can provide a letter attesting to your degree completion through a “Letter of Completion” request.
The Letter of Completion request can be found on the Registrar webpage at https://www.nmt.edu/registrar/forms.php, under Letter Requests.
Final Checklist
Reached a minimum degree completion of 80%.
Meet with Advisor and Minor advisor (if applicable).
Submit transcript for outstanding transfer credit (if applicable).
Declared Minor with the Registrar office if seeking a minor.
Minor Advisor approval if applicable.
Passed all remaining course requirements.
Meeting minimum GPA requirements.
Resolved non-reported grades.
Submitted FE exam scores (if applicable).
Petition to Graduate.
Order & Purchase Regalia.
RSVP’d for Commencement.
Updated diploma mailing address.
